AI paralegal & intake software for personal injury firms

Your injury firm's back office, working while you're in court.

Paralegal Associate is an AI receptionist, paralegal and associate built for small personal injury law firms. It answers new inquiries within the hour, keeps every statute of limitations on your calendar, and drafts the letters, memos and pleadings your cases need. Nothing goes out until you approve it.

Built by a practicing personal injury attorney. Runs inside your own Google Workspace.

Features

Legal intake, paralegal and associate work, organized by role.

Each role runs on a schedule and reports to one place: a private Command Center with every lead, case, deadline and draft in your practice.

01 · FRONT DESK

AI legal receptionist and intake

Answers fast, books consultations, never gives legal advice.

Hourly inbox watch

Checks your inbox every hour from 8am to 8pm, seven days a week. New injury inquiries get a warm reply drafted with three open consultation times from your calendar.

Client intake and conflict screen

Logs each inquiry as a lead with incident type, date, injuries and insurer, and checks the other party and carrier against your existing leads and cases.

Consultation scheduling

When a prospect picks a time, it books the consult on your calendar, drafts a confirmation with what to bring, and reminds you to run a conflict check first.

Calls, voicemail and texts

Reads voicemail transcripts and texts from Google Voice or your answering service, creates call-back tasks and drafts short text replies.

02 · CASE SUPPORT

AI paralegal for personal injury cases

The opening work for every signed case, drafted the same day.

Letters of representation

To every known carrier: notice of representation, no direct contact, no recorded statements, and a request for policy limits and the declarations page.

Preservation (spoliation) letters

Specific to the case: vehicle and event-data-recorder data, dashcam and surveillance video, driver logs and maintenance records.

Medical records and police report requests

One request per provider with itemized billing codes, plus crash report, body-camera and 911 requests to the responding agency.

Medical chronologies and damages summaries

A date-by-date treatment chronology with gaps flagged, a specials table by provider, and a lien and subrogation tracker.

Client intake packet

Welcome letter, document checklist, treatment diary and plain-English do's and don'ts for new clients.

Settlement statements

Gross recovery, fee, case costs from your books, liens and net to client, prepared for your trust-account reconciliation.

03 · LEGAL WORK

AI associate for legal drafting

Memos, demands and pleadings, with every authority sourced.

Statute of limitations and deadline memos

The governing statute, accrual date and computed deadline, plus government-claim, tolling and UM/UIM checks and a table of dates to calendar.

Demand letters

Liability, a treatment narrative built from the chronology, specials and policy limits. The demand figure stays blank until you set it.

Case evaluation and legal research memos

Liability, comparative fault, damages, collectability and weaknesses, with counter-arguments and links to every source it read.

Litigation drafting

Complaints, discovery requests and responses, deposition outlines, motions and mediation statements, tailored to the file.

Your state rulebook

One attorney-approved reference for your state's limitation periods, fault rules, court deadlines, fee and advertising rules, re-checked every six months.

Your templates and voice

Add your letterhead and past letters to a folder and every draft follows your format and tone.

04 · PRACTICE

Case management and deadlines

Keeps cases moving and clients informed.

Statute of limitations tracking

Every open case sorted by its limitations date. Cases with no date stay flagged red until one is entered.

Calendar deadline sync

Limitations dates and court deadlines copied to your Google Calendar, with warning entries ahead of each one.

Lead follow-ups

Up to three gentle follow-ups for prospects who go quiet, then a polite non-engagement letter so the file is closed properly.

Client check-ins and reviews

Status-update drafts for clients who haven't heard from you in 30 days, and Google review requests after a case settles.

05 · BUSINESS

Law firm operations and marketing

The numbers and the marketing, every Monday.

Operating books

Receipts and payments pulled from email into your ledger, case costs tracked by client, and trust money kept strictly separate.

Weekly money and pipeline brief

Income, expenses, net, case costs outstanding, new inquiries by source and which sources actually sign cases.

Law firm marketing drafts

Three social posts a week, written to stay inside attorney-advertising rules, waiting for your approval.

Contingency fee agreement template

An engagement letter drafted to your state's requirements, including a plain-English disclosure of AI use.

Built for injury practice

Made for the cases you actually handle.

Intake questions, letters, preservation requests and deadline checks adapt to the type of case, from a rear-end collision to a wrongful death claim against a public entity.

  • Car accidents
  • Truck accidents
  • Motorcycle accidents
  • Pedestrian & bicycle
  • Slip and fall / premises
  • Dog bites
  • Medical malpractice
  • Workplace injuries
  • Wrongful death

How it works

One case, from first email to settlement.

  1. Day 0 · 6:42 PM

    Inquiry arrives

A rear-end victim emails after hours. Within the hour a reply is drafted asking only what's missing and offering three consult times.

  2. Day 1

    Consultation booked

They pick Tuesday at 2. It's on your calendar, with a confirmation drafted and a conflict-check reminder.

  3. Day 3

    You sign the case

Change the stage to Signed. Representation, preservation, records and police letters, an intake packet and a limitations memo are drafted that day.

  4. Day 3–4

    You review and approve

Open each draft and approve it or send it back with notes. Approved letters become Gmail drafts addressed to the right people.

  5. Day 4

    Deadlines are calendared

The approved limitations date and its warnings go on your calendar automatically.

  6. Months 1–6

    Records come in

The chronology, damages summary and lien tracker are built from the records you upload. Clients get monthly check-in drafts.

  7. Demand

    Demand and resolution

A demand letter from the chronology, then a settlement statement for trust reconciliation and a review request once the case closes.

Built for your license

You stay the lawyer. It never acts on its own.

Every safeguard below is built into how each role works, not left to a setting.

Nothing is sent or filed

Emails stay as Gmail drafts. Documents are stamped "attorney review required." You send, sign and file.

Sourced citations only

It cites only statutes and cases it actually opened, links each one, and tags it for your verification. It never invents authority.

No guessed facts or figures

Unknown facts become bracketed blanks. Demand amounts and case values stay empty until you set them.

Prospects never get legal advice

Intake replies gather facts and offer times. They never promise representation, predict outcomes or quote fees you haven't confirmed.

Trust money stays separate

Settlement and retainer funds are flagged for your trust ledger and never mixed into operating books.

Your data stays in your accounts

It works inside your own Google Workspace, and your Command Center is private to you.

Founding firms

We're setting up a small group of injury firms by hand.

Founding firms get white-glove setup and a direct line to the attorney who built it. In exchange, we ask for honest feedback.

  • Setup in your Gmail, Calendar and Drive, configured for your state and practice
  • Your templates, letterhead and voice loaded before day one
  • A test run on a sample case so you see every draft before going live
  • Flat monthly pricing. Never a percentage of your fees.

Who it's for

Solo and small personal injury firms, roughly 1 to 15 people, who want faster intake and less paperwork without hiring another full-time staff member.

FAQ

Questions attorneys ask about AI in their practice.

Is it ethical to use AI for paralegal and associate work?

Bar guidance generally allows lawyers to use AI tools when they supervise the work, protect client confidences and understand the technology. Paralegal Associate is built around that: you review every draft, nothing leaves without your approval, and its engagement letter template includes a client disclosure. Check your own state bar's guidance; your state rulebook includes a section on it.

Does it talk to clients or give legal advice?

No. It drafts messages for you to send. Intake replies collect facts and offer consultation times, and are written to avoid advice, predictions or promises of representation.

Where does my client data live?

In your own Google Workspace (Gmail, Calendar and Drive) and a private Command Center that only you can open. We recommend a business Workspace account with two-factor sign-in.

Can it file with the court or send letters on its own?

No. It cannot send email, serve documents or file anything. Approved letters become Gmail drafts, and you send them.

Which states does it support?

Any U.S. state. During setup it researches your state's rules into a rulebook you review and approve, and it uses that rulebook for limitation periods, court deadlines and documents.

Does it replace my case management software?

It works alongside it. Small firms can use the built-in Command Center; firms on Clio, Filevine or MyCase can keep them as the system of record.

How is it priced?

A setup fee and a flat monthly fee per firm, discussed on your intro call. It is never priced as a share of your legal fees, which bar rules generally prohibit.
